Settings guide

Manage users, roles, plans and billing without disrupting work.

Settings are for owners and admins. Keep changes intentional so team members only see the areas and actions they are expected to use.

Recommended flow

1

Choose roles

Use owner, admin, member and viewer roles based on the level of control each person needs.

2

Invite carefully

Check the recipient email before sending. Invited users create an account and join the workspace from the invite link.

3

Review plan limits

Check task, evidence and add-on limits before changing subscription or enabling more modules.

4

Keep invoices visible

Use the billing area for renewal dates, Stripe-hosted plan changes, invoices and receipts.

Role guidance

Most teams only need a small number of admins.

  • Owners can manage billing, settings, users and all workspace data.
  • Admins can manage workspace settings and operational records, but ownership should stay controlled.
  • Members should manage assigned work and upload evidence.
  • Viewers should be read-only and should not see controls they cannot use.

Billing changes

Subscription changes should be predictable for the customer.

  • Upgrades are intended to take effect immediately through Stripe Checkout.
  • Downgrades should be scheduled for renewal so access does not unexpectedly reduce mid-period.
  • Free plan limits keep data retained, but items beyond the editable limit become read-only.
  • Paid add-ons should be enabled through Stripe-backed plans or add-on checkout, not informal toggles.
