Keep each task clear enough for someone else to finish.

Tasks work best when the title, owner, due date, notes and evidence expectation are obvious. Use the task page as the single place to move work forward.

Recommended flow

Check the summary

Review the status, due date, owner, risk level and whether evidence is required.

Update the work

Change status, due date, owner and notes when the task moves forward.

Attach evidence

Upload or link the file that proves the task was completed or reviewed.

Use workflow actions

For document reviews, approvals and acknowledgements, use the workflow panel rather than simply marking the task complete.

Good task wording

Plain wording helps reminders, emails and reports make sense.

  • Use action-led titles such as Review insurance evidence or Confirm website privacy policy.
  • Put background context in notes rather than overloading the title.
  • Add a source URL only when it helps the user check the relevant official or internal reference.
  • Use custom categories when the task belongs to a recurring internal workstream.

Status guidance

Status should reflect the real position, not just whether someone has looked at the task.

  • Use In progress when work has started but the evidence or decision is not complete.
  • Use Waiting for third party when an adviser, supplier or external body is the blocker.
  • Use Complete only when the work is finished and any required evidence has been attached.
  • Use Not applicable when the organisation has decided the task is not relevant.
